Service 03

Stop losing customers inside a spreadsheet.

Most growing businesses run on a spreadsheet, a WhatsApp group and somebody's memory. That works until it doesn't — usually around the point where leads start going cold because nobody was sure whose job it was to follow up.

Sound familiar?

What usually brings people here.

  • Leads arrive across WhatsApp, Facebook, phone and email with no single list
  • Nobody knows who followed up with whom, or when
  • Your customer data lives in one person's spreadsheet
  • You can't tell how many enquiries turned into sales last month
  • Onboarding a new salesperson takes weeks because nothing is written down

What's included

What the work involves.

Working out what you actually need

We map how work moves through your business before recommending anything. Half the time an off-the-shelf CRM configured properly is the right answer, and we'll say so.

Setting up an existing CRM

HubSpot, Zoho or similar — configured around your pipeline, with your fields and your stages, not the defaults.

Custom CRM when it's justified

When your process genuinely doesn't fit an existing tool, we build one. This costs more and we'll tell you plainly whether it's warranted.

Getting your data in

Migration from spreadsheets and old systems, cleaned and de-duplicated on the way in.

Connecting your channels

Website forms, Facebook lead ads and WhatsApp feeding into one pipeline automatically, so nothing depends on someone remembering to copy it across.

Training your team

Sessions with the people who'll use it daily, plus written documentation. A CRM nobody uses is worse than the spreadsheet it replaced.

Deliverables

What you end up with.

  • A configured CRM with your pipeline and fields
  • Existing customer data migrated and cleaned
  • Lead capture connected from web, Meta and WhatsApp
  • Team training sessions and written documentation
  • Reporting dashboard for pipeline and conversion

Tools

What we build it with.

  • HubSpot
  • Zoho CRM
  • Next.js
  • PostgreSQL
  • Supabase
  • n8n

How we work

Six steps, no surprises.

You know the price and the scope before anything is built, and you can see progress the whole way through.

  1. 01

    Scope call

Thirty minutes. You describe the problem; we ask questions and tell you roughly what it would take. Free, and there's no pitch deck.

You get: An honest read on whether we're the right fit

  2. 02

    Proposal

A written scope with a fixed price and a delivery date. Everything included is listed, and so is everything that isn't.

You get: A fixed price and a date, in writing

  3. 03

    Design

Layouts and flows for review before anything is built. Changes at this stage cost nothing, which is exactly why we do it here.

You get: Designs you've approved before code starts

  4. 04

    Build

We build in stages with a live preview link throughout. You watch it come together instead of waiting in silence for a reveal.

You get: A preview link updated as we go

  5. 05

    Launch

Testing, migration and go-live. We handle the domain and hosting cutover, and we're on hand through it.

You get: A live site and every account in your name

  6. 06

    Iterate or hand over

We keep it running on a maintenance plan, or we hand over documentation and code and you take it from there. Both are fine.

You get: Ongoing support, or a clean handover

FAQ

CRM Systems — common questions

Should we buy a CRM or have one built?

Buy, in most cases. HubSpot's free tier or Zoho covers what most growing businesses need, and configuring one properly costs far less than building from scratch. Custom is worth it when your process genuinely doesn't fit an existing tool — and we'll tell you which situation you're in before you spend anything.

Can it capture WhatsApp enquiries?

Yes. Through the WhatsApp Business API, messages can create or update records automatically. Given how much business in Bangladesh runs through WhatsApp, this is usually the single most valuable connection we set up.

What happens to our existing spreadsheet data?

We migrate it — cleaned and de-duplicated. Bring the messiest version you have; sorting that out is part of the job.

How long does a CRM project take?

Configuring an existing CRM with migration and training is typically 2–4 weeks. A custom build is 8–16 weeks depending on scope.
